8 Vendors You Should Contact When Planning An Event

December 25, 2018 by Events & Logistics

Organizing an event isn’t a job for just one person. In fact, an event planning company even requires certain connections to make the affair a success. This is where vendors come in.

The vendors you choose can make or break the event you’re planning. While some organizers already have links to firms offering what they would need for all their projects, there are still those who jump from one vendor to another to accommodate the client’s party needs. After all, not all events are created equal.

It is important to hire the right person or company for your party needs because any mistake caused by the freelancers or vendors you hire will reflect on your event planning capabilities as well. But before that, you must first understand the types of professionals you should look for and what they’ll need to accomplish for the success of your event.

  1. Destination Management Company

At first glance, destination management companies appear like they are direct competitors of event planners. However, they actually have a more specific role. They can link you to the best venues outside of your usual place of business or specialization. This is because they have established connections with hospitality services and specialized venues and have a vast knowledge when it comes to offsite affairs.

  1. Designer or Decorator

Designers, also called event decorators, do as their title implies. They oversee the physical appearance of the affair and often work with the following professionals to deliver visuals that are within the assigned event theme:3.

3. Florist

Florists arrange flowers used both as centerpieces of the reception and dining area as well as decoration for a stage. Their creations add color and life to the party. Since their creativity are limited only by the materials they use, florists can also offer a lot of thematic designs for the event and should be able to work well with the event designer.

4. Calligrapher

Calligraphers are often hired for personal occasions like weddings and anniversaries. However, some people believe that there may be no need for calligraphers in this age due to the advancement in technology. Even so, there are certain instances when you must hire professionals to take care of lettering on signage and invitations to make the event feel classier. Receiving invitations with their names written in calligraphy also provides a certain feeling of importance for guests.

5. Graphic Artist

While a calligrapher takes care of lettering invitations, a graphic artist’s work lies in the contents of the invitation. Most of the time, they are the ones hired for flyers and other marketing paraphernalia used for corporate events. Their skill is also very useful for less formal gatherings that require social media presence.

6. Caterer or Bartender

Every event requires food and beverages. Although it is not required for them to be elaborate all the time, it is still good to have a caterer and/or bartender handle matters of replenishment for your guests. This way, you can ensure that someone is focused on the preparation and overall delivery of the food.

7. Photographer/Videographer

Documentation of events is handled by photographers and videographers. Although you can easily snap photos using your phone, it would require a trained eye of a professional to capture critical moments of the event at the right moment. These vendors also offer other services such as compilation of photos and even the creation of audio-visual presentations.

8. Entertainment

Entertainment is an aspect of an event that can turn things around when it is starting to get dull. Because of this, it is imperative to incorporate a gimmick that will not only break the ice but will also help the event achieve its purpose. You can hire performers like musicians and even stand-up comedians, but you also have the option to be more creative especially when launching a brand.
