You can certainly choose a venue yourself, but because we are so familiar with existing venue options in the Miami area, costs, and are capable of negotiating the best deal, most clients leave it to our dedicated event logistics staff!
First, it’s important to determine how the venue feels. Whether in a mansion, hotel conference room, or on the beach, every venue offers a different “feel” to those who attend. For instance, a mansion space may feel a bit more formal, while a beach setting is casual and relaxed.
Next comes the inspection. Once you have your options narrowed down, it’s time to look over everything as though you were shopping for a home. Are the rooms of adequate size, and carpets, paint, and decor in good condition? Can the layout of the room be changed to your liking in terms of table placement, etc.? Does the venue offer the ability to control natural light, or limit any distractions/noise? Where are the restrooms, and what is the proximity between the event room and kitchen?
Finally, learn about your options. Whether a private room in a restaurant, the hotel conference room, a mansion, convention center, or any other venue, it’s essential to know if you can set up a bar, bring in a caterer, implement your decor theme, and do other things you want to do to make your event a success. Are there electrical outlets available, or are audio/video and sound equipment provided if need be? Is a special permit needed, and will a representative of the venue be on-site for any questions, concerns, or assistance? If supplies will be delivered for use at the event, how early can they be delivered?
