Here are a few planning details you may not have thought of:
Does your events planning team provide miscellaneous supplies? Scissors, tape, paper, markers, pens, and other items are often needed to post an “impromptu” sign or team-building exercise.
Are Mac adapters provided in presentation rooms? Without these adapters, some presenters may not be capable of sharing their presentations on a projection screen or display for the audience.
How much information does your team provide to all who attend? Accommodation and transportation information is vital. Everyone who attends should be advised regarding restaurants in the area, transportation, and directions to hotels, conference centers, etc.
Have a room for attendees’ belongings on the last day of the convention/conference. On the last day, many who travel from out of town will have already checked out of their hotel before coming to the conference. A “coat room” makes it convenient for those who attend to pick up their luggage, coats, umbrellas, and other belongings.
Keep attendees up to date regarding any scheduling changes. Sometimes the schedule just has to be changed. Be sure you have methods in place to clearly communicate any change in plans to attendees, such as social media or appointing someone to announce any changes at the beginning of each session.
Be sure attendees can easily find the room where the conference or seminar is being held. Signage is essential, particularly if your event is being held in a large convention center or other location with a confusing/complex layout. Your signage should be clear and direct attendees right to the door.
